Refunds possibility

Although we empathize with our customers who experience last-minute changes to their travel plans and are unable to join our exciting Kilimanjaro or safari adventure, returning their money isn't always a feasible option. As a tour operator, we work with several organizations whose contributions are crucial to making these trips possible. We pay them in advance of your arrival in Tanzania, so it's not as simple as just giving the money back. We understand how disappointing this can be for our customers, and our team always struggles with having to say "no" to those we've guided through the planning process and look forward to sharing the joy of the experience with them.

  • Hotels, lodges, and local airlines

  • While we strive to ensure complete satisfaction with our booking services, it's important to note that our partner lodges, which are independently operated, have their cancellation policies. As a result, it may not always be possible to provide a full refund in the event of a cancellation, especially for tour packages that include stays at these lodges. Rest assured, we will do everything we can to ensure a fair and reasonable outcome for all parties involved.

    It's worth mentioning that the same holds for the local airlines that provide inland air travel services between Tanzania's mainland, the islands, and certain remote national parks for our customers  

  • Tanzania National Parks Authority

  • To ensure a smooth departure for our valued clients, it is customary for tour companies to pay entry fees for Mount Kilimanjaro and safari parks on their behalf. To avoid any inconvenience, we kindly request payment of these fees 2-3 days before the scheduled start of your tour. Please note that once paid, these fees are non-refundable.

  •  Our suppliers

  • When embarking on a journey to Kilimanjaro, Meru, or any other mountain, fresh perishable food items, fuel, medication, bottled water, and other necessary supplies are essential. At Impact Africa Safaris, we purchase and pay for these items before your trip to ensure that you have everything you need during your expedition. 

    Our team at Impact Africa Safaris is comprised of hardworking individuals who work tirelessly to make your tour a success. From managers who spend hours planning your trip, to reservation agents who communicate with hotels, to Kilimanjaro expedition assistants who prepare your gear, and supply teams who procure local farm-to-table items, we are dedicated to making your experience unforgettable.

    At Impact Africa Safaris Travel, we prioritize the safety and satisfaction of our valued customers. To ensure a risk-free experience, we have standard terms in place that apply to most situations. However, we understand that each case is unique, and work closely with our partnered hotels and lodges to consider all relevant details. 

    In the rare event of extreme circumstances such as death, serious illness, war, or natural calamity in the departure country, we always strive to provide a 100% refund. 

    Furthermore, in the event of tour cancellation, we promptly notify our partners and advocate on behalf of our customers. Our longstanding partnerships often allow us to waive cancellation penalties in extreme cases. 

    We aim to evaluate refund requests within 168 hours or less, ensuring efficient and fair decision-making.

    Cancelation fees

    The refund amount you receive will be determined by the timing of your cancelation request. Please note that for our premium Kilimanjaro packages and safari adventures of any category, the cancelation and refund policy is as follows:

    • A 10% fee applies to cancellations made more than 90 days before the tour start date 
    • A 30% fee for cancellations made between 60-89 days before the tour start date, 
    • A 60% fee for cancellations made between 30-59 days before the tour start date, 
    • A 80% fee for cancellations made between 8-29 days before the tour start date. 

    We greatly appreciate your understanding and hope to have the opportunity to welcome you on a future tour. 

    Please note that no refunds will be provided for cancellations made within 0-7 days before the tour start date. Additionally, please be aware that the non-refundable amount may be increased if penalty fees charged by lodges and airlines exceed the specified percentages. Any bank commissions associated with refund returns will be deducted from the refund amount.
