Terms & Conditions

Last updated: 4 November 2026

These Terms & Conditions are the agreement between you and Impact African Safaris Ltd (“we”, “us”). They apply to every safari, Kilimanjaro climb, day trip, package, volunteer programme and tailor-made trip we sell, whether you book on this website, by invoice, by email or by WhatsApp. Please read them before you pay. By paying any amount, you confirm that you have read and accept these terms on behalf of everyone in your booking.

Summary – the key points

  • Book safaris, climbs and packages at least 21 days ahead and day trips at least 3 days ahead.
  • Pay in full, or 30% to confirm and the balance in 1 or 2 instalments. The full balance is due 60 days before your trip starts.
  • We use your payments straight away to secure park permits, lodges, flights, vehicles and crew. That is why cancellation charges apply – see our Cancellation & Refund Policy.
  • Changing your dates is usually possible and is cheaper than cancelling.
  • Travel insurance with trip-cancellation cover is strongly recommended for every traveller.

1. Who we are

Impact African Safaris Ltd is a tour operator registered in Tanzania. Office: Lindi Street 64, Ghala Road, Moshi, Kilimanjaro 250101, Tanzania. Email: impactafricasafaris@gmail.com. Phone and WhatsApp: Canada +1 (403) 796-5252 · Tanzania +255 747 577 461.

2. Your booking and our contract

  1. A booking is confirmed only when we have received your payment (full or first instalment) and sent you a written confirmation by email.
  2. The person who makes the booking (the “lead traveller”) must be at least 18 and confirms that every traveller in the booking has agreed to these terms. The lead traveller is responsible for passing on all information we send.
  3. Tailor-made trips: the itinerary, inclusions and price in our final written quote or invoice form part of this contract. If anything in that quote differs from these terms, the quote applies for that point.
  4. Website prices are per person in US dollars unless stated, and depend on the group size and stay level you choose. If the number of travellers changes, the price per person may change (see section 6).

3. Booking notice

Good preparation makes a quality trip. Please book safaris, Kilimanjaro climbs and multi-day packages at least 21 days before the start date, and day trips at least 3 days before. We welcome later bookings and will always try, but at shorter notice we cannot guarantee vehicles, guides, park permits, accommodation or every detail of the itinerary. We will tell you within 24 hours what we can arrange. If we cannot run a late booking at all, we will refund what you paid for it in full. Late bookings must be paid in full at the time of booking.

4. Payments and payment plans

  1. Payment options: (a) pay in full; (b) 2 payments – 30% to confirm, balance 60 days before the start date; or (c) 3 payments – 30% to confirm, 35% about 4 months before, final 35% 60 days before. Instalment plans are arranged by invoice.
  2. If you book less than 60 days before the start date, the full price is due at booking.
  3. If an instalment is not paid by its due date, we will remind you and give you 7 days to pay. If it is still unpaid, we may treat the booking as cancelled by you, and the cancellation charges in our Cancellation & Refund Policy will apply.
  4. Prices are in US dollars. Your bank may charge currency-conversion or international fees; these are your responsibility.
  5. Group and split payments: when travellers pay separately using the same group name, each traveller is responsible for their own payment. If a traveller cancels or does not pay and the group moves to a smaller size band, the remaining travellers’ price per person may rise; we will tell you before charging any difference.

5. How we use your payments

As soon as we receive your money we begin using it to secure your trip: we pay or commit funds to national park and conservation authorities (TANAPA, NCAA, KINAPA), lodges and hotels, airlines, vehicle owners, guides, cooks, porters, village hosts and other suppliers, many of whom require payment in advance and do not refund us. You agree that your payments may be used in this way before your trip starts, and that money we have already paid or committed to suppliers on your behalf cannot always be recovered if you cancel. This is why our cancellation charges increase as your travel date gets closer.

6. Prices and price changes

  1. Our prices include the items listed under “Included” on each trip page or quote. Anything not listed is not included.
  2. Once your booking is confirmed we will not raise the price, except for: (a) increases in government park, conservation, concession or crater fees, taxes or VAT; (b) increases in the compulsory Tanzania inbound insurance; (c) significant fuel or airfare surcharges imposed on us; or (d) changes you ask for, or a change in your group size.
  3. We will pass on such increases at cost and show you the evidence. If an increase is more than 10% of your trip price, you may cancel within 14 days of our notice and receive a refund of what you have paid, minus any amounts already paid to suppliers that they will not return.

7. Changes you make

  1. We will always try to help. Ask in writing (email or WhatsApp).
  2. Date changes requested more than 60 days before the start date are free once, subject to availability; you pay any supplier change fees and any difference in price. Changes requested within 60 days may be treated as a cancellation of the original booking if suppliers cannot move it.
  3. Changing to a cheaper trip or fewer travellers within 60 days of departure is treated as a partial cancellation.
  4. Name changes are possible if park permits and flights allow; any re-issue fees are yours.
  5. Unused services (a day you skip, a meal you miss, leaving a climb early) are not refundable.

8. Cancellation by you

Cancellations must be sent in writing by the lead traveller and take effect on the day we receive them. Charges are set out in our Cancellation & Refund Policy, which forms part of these terms.

9. Changes and cancellation by us

  1. Safari and mountain travel depends on weather, roads, wildlife, park rules and safety. Your guide may change the order of activities, routes, campsites or game-drive areas on the day to keep you safe or to give you a better experience. These are not significant changes and no compensation is due.
  2. If before departure we must make a significant change (for example a different main destination or a lower accommodation level), we will offer you a choice of: accept the change (with a refund of any price difference), take an alternative trip, or cancel and receive a full refund of what you paid us.
  3. If we cancel your trip for reasons within our control, you will receive a full refund of what you paid us.
  4. We may cancel a Kilimanjaro climb or activity for a traveller whose health, fitness or behaviour puts themselves or others at risk. In that case no refund is due for the unused part.

10. Events beyond our control (force majeure)

We are not responsible for failure or delay caused by events we cannot reasonably foresee or avoid, such as extreme weather, natural disaster, epidemic, war, civil unrest, terrorism, government action, park or border closures, strikes or airline failure. If such an event stops your trip from going ahead, we will first offer to move your trip to new dates or give you a credit valid for 24 months. If you prefer a refund, we will refund what you paid us minus any amounts already paid to suppliers that they will not return, and minus reasonable costs already incurred. We will do our best to recover money from suppliers for you.

11. Travel insurance

Every traveller must hold Tanzania’s compulsory inbound travel insurance; we buy it for you on multi-day packages. This basic cover is not cancellation insurance. We strongly recommend that you also buy personal travel insurance from home covering trip cancellation and interruption, medical treatment, emergency evacuation (and high altitude up to 6,000 m for Kilimanjaro) and lost belongings. If you cancel for illness or another personal reason, your insurer – not us – is the right place to claim your losses.

12. Passports, visas and health

  1. You are responsible for a passport valid for at least 6 months after your trip, your Tanzania visa, and any vaccinations or certificates required (for example yellow fever when arriving from some countries).
  2. Please consult a travel clinic about malaria prevention and other health advice.
  3. You must tell us before booking about any medical condition, disability, pregnancy, allergy or dietary need. Kilimanjaro climbers must be in good health and may be asked for a doctor’s confirmation of fitness.
  4. We are not responsible if you are refused boarding or entry because of documents or health requirements.

13. Your responsibilities on the trip

  1. Follow the instructions of your guide, park rules and Tanzanian law. Respect local people, cultures and wildlife; ask before taking photos of people.
  2. Your guide may refuse to continue with any traveller whose behaviour is dangerous, illegal or seriously disruptive. No refund is due in that case and you pay any extra costs.
  3. Children must be accompanied by an adult who is responsible for them at all times. Some activities have minimum ages set by parks or suppliers.
  4. You are responsible for your own belongings. You will pay for any damage you cause to vehicles, lodges or equipment.

14. Our responsibility and its limits

  1. We will provide the services we have agreed with reasonable care and skill, using licensed guides and suppliers we have checked.
  2. Some services are provided by independent suppliers (lodges, hotels, airlines, park authorities). Their own terms also apply, and we are not responsible for their acts or omissions where we have chosen them with reasonable care.
  3. Safaris, wildlife viewing, hiking, high-altitude climbing, swimming at waterfalls and hot springs and travel by road carry natural risks. By booking you accept these risks. Wildlife sightings and reaching the summit of Kilimanjaro cannot be guaranteed.
  4. To the extent the law allows, we are not liable for indirect or consequential loss (for example missed flights or loss of earnings), and our total liability to you is limited to the price you paid for the affected part of the trip. Nothing in these terms limits liability for death or personal injury caused by our negligence, or any right that cannot be excluded by law.

15. Complaints

If something is not right during your trip, please tell your guide or call us immediately so we can fix it on the spot – most problems can be solved the same day. If you are still not satisfied, write to us within 28 days after your trip ends at impactafricasafaris@gmail.com. We will reply within 14 days. We cannot consider complaints that were not raised during the trip when we could have put them right.

16. Card disputes and chargebacks

If you are unhappy with any charge, please contact us first so we can resolve it. Opening a card dispute for services that were delivered, or for charges made under these terms, is a breach of this agreement; we will provide our booking records, your acceptance of these terms and evidence of supplier payments to your card issuer, and you will be responsible for reasonable costs we incur in recovering amounts properly due.

17. Photos, reviews and privacy

We handle your personal data as described in our Privacy Policy. We will only use photos in which you can be identified for marketing with your written permission.

18. General

  1. These terms are governed by the laws of the United Republic of Tanzania. We will always try to settle disagreements by friendly discussion first; if that fails, disputes will be referred to mediation and then to the courts of Tanzania. This does not remove any consumer rights you have under the law of the country where you live.
  2. If any part of these terms is found invalid, the rest remains in force.
  3. We may update these terms. The version published on the date you book applies to your booking.
