Cancellation & Refund Policy
Last updated: 4 November 2026
We know plans change. This policy explains exactly what happens if you need to cancel or change, so there are no surprises. It forms part of our Terms & Conditions.
Why cancellation charges apply
Our trips are services, not goods, so there is nothing to “return”. As soon as you pay, we use your money to secure your trip – park and crater permits, lodges, flights, vehicles, guides, porters and village hosts. Many of these suppliers do not refund us. The charges below cover those commitments and the work already done for you.
1. Safaris, Kilimanjaro climbs, packages and tailor-made trips
| When we receive your written cancellation | Cancellation charge (% of total trip price) |
|---|---|
| 60 days or more before the start date | 30% (your first payment) |
| 30 to 59 days before | 50% |
| 15 to 29 days before | 75% |
| 14 days or less, or no-show | 100% – no refund |
- If a supplier’s own charges are higher than the percentage above (for example non-refundable flights, Zanzibar or premium lodges, or park permits already issued), the higher, actual amount applies. We will show you the supplier’s terms.
- Park, conservation and crater fees and Tanzania inbound insurance are non-refundable once purchased, usually 2–7 days before your trip.
- If you are on a payment plan and have paid less than the cancellation charge, you agree to pay the difference.
2. Day trips
| When we receive your cancellation | Refund |
|---|---|
| 72 hours (3 days) or more before the start time | Full refund, minus card processing fees (about 3.5%) |
| 24 to 72 hours before | 50% refund |
| Less than 24 hours, or no-show | No refund |
3. Change your dates instead of cancelling
- More than 60 days before: move your trip once to new dates within 24 months at no charge from us. You pay any supplier change fees and any difference in price (for example high-season rates).
- Within 60 days: we will try to move your trip. Where suppliers allow it, the amount you have paid (minus non-recoverable supplier costs) becomes a trip credit valid for 24 months. Otherwise the cancellation charges above apply.
- Trip credits can be used by you or transferred to a friend or family member once.
4. Refunds when we cancel
- If we cancel your trip for reasons within our control, you receive a full refund of everything you paid us, or a credit if you prefer.
- If we cannot confirm a late booking (made inside our 21-day or 3-day notice period), you receive a full refund of that booking.
- If a trip cannot go ahead because of events beyond anyone’s control (extreme weather, natural disaster, epidemic, war or unrest, government or park closures, airline failure), we will offer new dates or a credit valid for 24 months. If you prefer a refund, we will refund what you paid minus amounts already paid to suppliers that they will not return. We will always try to recover these for you.
5. Things that are not refundable
- Unused parts of a trip once it has started (a missed day, leaving a climb early, skipped meals or activities), for any reason.
- Services missed because of late arrival, missed flights, lost documents or refused entry.
- A climb or activity stopped by the guide for safety or behaviour reasons.
- Wildlife sightings, weather and reaching a summit cannot be guaranteed and are not grounds for a refund.
6. How to cancel
The lead traveller must email impactafricasafaris@gmail.com with the booking name and order number. Your cancellation takes effect on the day we receive it (Tanzania time). We will confirm in writing within 2 business days.
7. How refunds are paid
Approved refunds are paid to the original card or account within 14 business days, in US dollars. Card processing, bank transfer and currency fees that we cannot recover are deducted. Your bank may take a few more days to show the refund.
8. Protect yourself with insurance
Because we must pay suppliers in advance, we strongly recommend travel insurance with trip-cancellation cover from the day you book. If you cancel for illness, family emergency or another personal reason, your insurer can reimburse the charges above. We will gladly provide invoices and letters for your claim.
